Marketing & Gigs: A Guide for Hitmix Hosts

Task 1: Be the best!

Word of mouth is the best form of advertising and the most successful businesses build their brand on the energy and professionalism of the host.  If you have word of mouth advertising, the rest of this guide might just be redundant!

While writing this guide I asked someone for advice and they said: “I’ve just done an Aqua aerobics class and the host was dreadful.  No energy, no personality, no voice, rubbish moves. I lost interest after ten minutes.”

So be the best – or at least try to be!

Task 2: Register your details on the host directory.

Visitors often come to our website looking for someone to host a music or video bingo event.

While we can’t guarantee bookings through the site, being listed increases your visibility – and who knows what opportunities might come your way!

Best of all, it’s completely free to join. So why not sign up and make yourself discoverable?

Complete your host profile in our billing portal at https://hosts.hitmixbingo.com/login

Task 3: Compile a venue list

Compile a list of venues you would be willing to travel to in your area.

If you are in the United Kingdom for example, you could get details of all the local pubs in your area from websites such as:

Task 4: Start promoting

Get in contact with the venues on your list and promote your services to them.

Facebook messages are free but venues may ignore your attempt to contact them.

Same for emails, completely free but may get ignored.

A telephone call would be more likely to get a conversation going but you may not always get through to the right person and you might have to make multiple attempts.

I hate trying to sell myself in person so my personal plan of attack is to write a letter to the venue and include something like a packet of sweets in the envelope.  Again, it might get ignored but I’ve gained many bookings through this approach.

By far the best option is to visit the venue in person and ask to chat to the manager.  Take your marketing material and just introduce yourself.  It’s free and effective.

Task 4½: Create a special offer

After writing this guide, a very successful quiz and bingo host shared his special offer with me.

His offer helped to secure many gigs because he was giving the prospective client 3 options to choose from, all of which resulted in a minimum 5 week booking.

Book me for a 5-week trial and get 1 week free!

You choose how you’d like to redeem your free gig:

  1. Get your first week free
  2. Get your 5th week free
  3. Spread the saving – pay a reduced rate each week (only £X instead of £X)

Subject: Boost Your Midweek Trade with a Fun, Fresh Music Bingo Night

Dear [Pub Owner / Manager’s Name],

I’m writing to introduce you to an exciting opportunity to boost your pub’s footfall, energy, and bar sales – all with zero hassle to you.

[Company Name], run by experienced host [Your Name], is now offering monthly Music Bingo nights across [Your Location] – and your venue could be next to benefit.

Why Music Bingo?

Drives Midweek Trade

Music Bingo is the perfect crowd-puller for quieter nights. By turning a slow Tuesday or Wednesday into an event night, you’ll see increased footfall and bar sales – without needing to rely on sports or special occasions.

Builds Regular Custom

A monthly night gives people something to look forward to – they’ll mark it in their calendar and bring their friends along. You’ll start seeing familiar faces and growing your regular customer base.

Boosts Food & Drink Sales

Customers stay longer, order more rounds, and often enjoy a bite to eat while they play. It’s not just an event – it’s a revenue driver.

Fun, Inclusive, and Easy

No trivia knowledge required – just recognise the tune and mark it off! Music Bingo gets everyone involved: singing, laughing, dancing, and having a great time in your venue.

Fresh Themes Every Month

From 80s throwbacks to guilty pleasures and party anthems – [Your Name] keeps it fresh, fun, and engaging every single time.

Great for Social Media

Task 5: Free Facebook advertising

Compile a list of local Facebook groups that advertise local events, you’ll not only find potential venues, but if you advertise your services in this group then you’ll be advertising to the people that promote their events here.  Groups such as:

  • What’s on in _____
  • _____ local events
  • _____ gig guide

Make sure you are posting in those groups to advertise your services.  Post some marketing text and include a great video or photo.

You might also consider looking into groups that are based around people needing to find entertainers.  In the UK there is a group called The Circle on Facebook.  This group is full of managers that book entertainers for various events – promote yourself in these groups.

Task 6: Build a Simple Website or Landing Page

Even just a one-page site with:

  • An intro to you and your company
  • A breakdown of services offered
  • Testimonials or photos/videos
  • Contact details & booking form

Why: Pubs and venues may want to check legitimacy quickly — a website builds trust and looks professional. Free tools like Wix, Carrd, or Google Sites work fine to start.

If you have a budget of around £300, I can recommend https://red-website-design.co.uk, or for £99 per month I can recommend the company that built this website: https://www.getjigsaw.co.uk

Task 7: Create a Video Promo Reel

  • A short 30–60 second promo video showing highlights: crowds enjoying Music Bingo, You hosting, people laughing, snippets of music, winners getting prizes.
  • Add a voiceover or text overlay with a call to action.

Why: Venues respond far better to video than plain text. It gives them a sense of what they’re buying and makes marketing easier.

Tip: Make sure the people in you video look happy!  You wouldn’t believe the amount of promo videos I’ve seen where the guests look bored or unhappy!

Task 8: Create a Monthly Email Newsletter

Use Mailchimp.

Keep your 100 contacts updated on:

  • New themes or games (e.g. “Disney Night,” “Guilty Pleasures Bingo”)
  • Availability
  • Special offers
  • Photos from recent events

Why: Keeps you top of mind for venue managers who aren’t ready to book just yet.

Task 9: Partner with a Local Charity or Cause

Offer to host a charity Music Bingo night once per quarter for free or low cost.

Use this as a way to showcase the event to multiple potential venues while doing good.

Why: It creates buzz, gets exposure, and may lead to bookings from people who attend or support the event.

Task 10: Prep a Professional PDF Flyer

Something you can send digitally, print, or hand-deliver.

Includes:

  • Key benefits for pubs
  • Testimonials
  • Service list with short descriptions
  • Contact info
  • Pricing or special offer (optional)

I use these guys all the time, they are cheap and produce great work!

Task 11: Ask ChatGPT for advice.

You’ll never run out of ideas by asking it simple questions like “Give me 10 ideas on how to promote my music bingo service”.
